Terms of service
Provisional version of 23 October 2026. It may be updated before the launch.
These terms apply to the subscription to the Synkora CRM only, without a website, on the shared platform, at app.synkora.pt, on the Bookings, Essential and Business plans. The «Website + CRM made to measure» packages have their own contract and are not governed by these terms. The Enterprise plan is only available by individual proposal, with its own contract, which prevails over these terms where it differs.
The service is for businesses and professionals (B2B) in Portugal and the rest of the European Union. By creating an account, you confirm that you create it on behalf of a business or for your professional activity and that you can bind that business to these terms. At sign-up you tick two boxes: you accept these terms, the privacy policy e o data processing agreement, and you declare the professional use. We keep the version of these terms you accepted and the date.
1. Who we are
The service is provided by [Nome legal da Agência], tax number [NIF da Agência], registered office at [Morada da sede da Agência], Portugal ("we"). Notices about the subscription and complaints: support@synkora.pt. General and sales contact: hello@synkora.pt.
2. The service
Synkora is a CRM for small and medium businesses: customers, orders, conversations, automations and the modules each plan includes. Each business works in its own workspace, with its data kept apart from other businesses.
The service changes over time: we add features and may change or remove others. If we remove an important feature from a paid plan, we give at least 30 days' notice by email. Anything marked «Coming soon» is not yet part of the service.
3. Account and access
- Accurate details. You give us a true name, email and billing details, and keep them up to date.
- One account per person. Each person on the team signs in with their own account. Do not share accounts or passwords.
- Two-factor authentication is recommended. The workspace holds personal data about your customers. So we recommend that each person turns on two-factor authentication, when creating the account, when accepting an invite, or later in My account › Security. It is each person’s decision. With it on, signing in asks for the password (or Google account) and a code from an authenticator app, and each person gets 10 recovery codes, which they must keep somewhere safe. Your business remains responsible for protecting its team’s accounts.
- Recovery through support. Anyone who loses the app and the codes asks for a reset in «I lost access». We only reset after confirming that the account belongs to that person, through the account email and a proof of ownership (for example, the details of a recent invoice). The reset only takes effect 24 hours later, with an email to the person and the other owners. We never ask for the full card number or for identity documents by email. Except in cases of wilful misconduct or gross negligence, we are not liable for access obtained after we followed this procedure, nor for access with credentials your team did not protect.
- Security. You are responsible for what is done with your team's credentials and tell us as soon as you suspect unauthorised access.
4. Acceptable use
You may not use the service to:
- send spam or messages the recipient did not ask for, against the GDPR, electronic communications law or the platforms' rules (WhatsApp, Instagram, Messenger);
- store or process personal data without a legal basis, or special categories of data without the safeguards the law requires;
- sell or advertise illegal products or services, or content that infringes the rights of others;
- try to access other businesses' data, get around plan or security limits, or overload the service on purpose;
- resell the service or give access to third parties outside your business without a written agreement.
If the service is used against these terms, we may limit or suspend the account. Where possible, we warn you first and give you time to put it right.
5. Free trial
- Each person's first workspace has 14 free days, with no card. Every extra workspace has its own plan from the start.
- The 14 days are on the plan chosen when creating the account (Bookings, Essential or Business; Essential if none is chosen), with that plan’s modules and limits. During that time, the owner can move the trial to another plan (“Try it”), once per plan, without changing the end date. At the end, it carries on with the plan once paid, with no data lost.
- If the trial ends without a plan, the workspace becomes read-only. It is deleted 60 days after the end, and we email you before that.
- We may grant promotional offers individually (for example, free months), under the conditions stated in each offer. Any publicity agreed in exchange is voluntary and agreed in writing.
6. Plans, prices and payment
The prices and limits of each plan are those published on the website and in the workspace when you subscribe, and they stay fixed for the current period. Prices are in euros and do not include VAT.
- Bookings. €16/month. Includes the Bookings module only (booking page, calendar, opening hours and days off, confirmations), the customers list, the confirmation and reminder emails and a simple dashboard. 3 people are included; each extra person costs €3/month, up to 5 people. Your own domain for the booking page is an extra €2/month, added to the subscription when you connect it and removed when you remove it. When you move from another plan to Bookings, the modules it does not include are no longer shown, but the data is kept and comes back with a bigger plan.
- Essential. €29/month, 5 people included and €5/month per extra person, up to 10. Includes every module. Your own domain for the booking page is included.
- Business. €79/month, 10 people included and €5/month per extra person, up to 25. Your own domain for the booking page is included.
- Monthly. No minimum term. You can cancel at any time in the workspace (“Cancel subscription”); access continues until the end of the month already paid and then the plan ends, with no refund for that month.
- Annual, paid monthly. The price of the annual plan (the monthly price with a 10% discount, times 12) is owed for the 12 months. Paying monthly is a payment facility: the annual price is paid in 12 instalments, invoiced every month. During the 12 months, the plan cannot be cancelled.
- Renewal. Annual plans renew on their own for new 12-month periods. We send an email 30 and 7 days before each renewal, with the date and the amount. You can choose «Do not renew» or «Switch to monthly at renewal» until the last day of the period, in the workspace or by email to support@synkora.pt; until then you can undo the choice.
- Before the 12 months end.
- Plan changes. Moving up a plan, or adding people, is immediate and you pay the prorated difference for the time left. Moving down a plan only counts at the end of the period already paid (on the annual plan paid monthly, at the end of the 12 months), with no refund; until then, the workspace shows the scheduled change and you can undo it. During the 12 months of the annual plan paid monthly, changing the way you pay also only counts at the renewal.
- Payment. Invoices are due on the date they are issued and are paid through Stripe, by card or direct debit. We never see or store card details.
- VAT. In Portugal, VAT is added at the legal rate. In another EU Member State, with a VAT number valid in VIES, the invoice is issued without Portuguese VAT, with the note «IVA – autoliquidação» (reverse charge), and the customer accounts for VAT in their own country. Without a valid VAT number, Portuguese VAT applies.
- Price changes. Prices do not change during the current period. An increase only applies from the next renewal, with at least 60 days' notice by email (on the monthly plan, from the first monthly fee after those 60 days). If you do not accept the new price, you can choose not to renew or end the subscription with no penalty until the last day of the period.
- Referrals. Each workspace has a referral link in its settings. When a new business creates an account from that link and makes its first payment, whoever referred it receives a credit equal to one month of their plan, taken off their next invoices, up to 12 months in any 12 months. The credit has no cash value, is not transferable and is withdrawn if the first payment is refunded within the following 14 days. We may cancel credits obtained through abuse.
7. Late payment
The periods count from the day the payment failed. The steps are automatic, except closure.
- Day 0. Stripe tries the payment again over the following days and we email the account owner with a link to pay.
- Days 3 and 7. Email reminders. The whole team sees the «Payment overdue» notice.
- Day 14. The workspace becomes read-only: the data can be viewed and exported, but not changed. Forms and automations stop, and the booking page stops taking new bookings (it shows «Marcações online indisponíveis de momento. Contacte-nos.», “Online booking unavailable at the moment. Please contact us.”, with your contacts). Bookings already made stay visible and your customers can cancel them from the link they received.
- Day 30. Suspension: only the account owner can sign in, to pay or export the data. The data is kept. On the annual plan paid monthly, the remaining instalments fall due at once and are invoiced that day.
- After day 90. We send a final notice and may close the account and end the contract. We decide case by case, never automatically. Until the closure, the export stays available; afterwards, the data is kept for 90 days and then deleted (section 10).
Once the amount owed is paid, at any of these steps, everything works again at once, including the booking page.
Overdue unpaid invoices bear late-payment interest at the rate for commercial transactions, under Decree-Law no. 62/2013, which transposes Directive 2011/7/EU, and we are entitled to a fixed compensation of €40 per late invoice, plus reasonable recovery costs above that amount.
8. File storage
- Each plan includes storage for files (photos, PDFs and documents). On the Essential and Business plans, you can buy extra storage packs in the workspace. Adding packs takes effect at once and you pay the difference for the time left; removing packs only takes effect at the end of the period already paid.
- The database space is the plan's and cannot be bought separately. Our backups and the archive do not count towards your storage.
- If files take up more than the space available (for example, after removing packs or moving to a smaller plan), no file is deleted: they all stay visible and can be downloaded, but you cannot upload new files until they fit again or you buy more storage.
9. Availability and support
On the Bookings, Essential and Business plans, we make reasonable efforts to keep the service available, with no availability guarantee and no service credits. The Enterprise plan is only available by individual proposal, with no published price: the price, the limits and the availability commitment (SLA) are those set in that proposal, and the SLA only applies when the proposal includes it.
Incidents and maintenance are published on the status page, at status.synkora.pt. Support is by email, on working days.
10. Your data
- They are yours. The data your business keeps in the workspace belongs to your business. You can export it at any time, also while a payment is late and until the account is closed.
- GDPR. For your customers’ personal data, your business is the controller and we are the processor, under the data processing agreement (Article 28 GDPR), which is part of these terms. We only process that data to provide the service and on your instructions.
- Where it is kept. The workspace data is hosted in data centres in the European Union. Some processors (such as Stripe, Google, Meta and the email providers) may process data outside the European Economic Area, with the safeguards the GDPR requires; the list is in the privacy policy.
- Closing the account. With a paid subscription, the account does not close the same day: the subscription stops renewing and the workspace keeps working until the end of the period already paid (on the annual plan paid monthly, until the end of the 12 months), and closes on that day. Until then you can undo the request. Without a paid subscription (a trial or an offer), it closes straight away.
- Deletion. Once the account is closed, we keep the data for 90 days, so you can reopen it or export it, and then delete everything except what the law requires us to keep (such as invoices).
Your account and website data are handled as explained in the privacy policy.
11. Integrations and third-party services
The workspace connects to services from other companies, such as Google, Meta (WhatsApp, Instagram, Messenger), Stripe, invoicing providers and carriers. Each has its own terms and prices, which you accept directly with that provider. We are not responsible for the outages, changes or decisions of those services.
Use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We only use that data for the features your business connected, we do not sell it and we do not use it for advertising.
12. Intellectual property
Synkora, with its modules, templates and tools, is ours. During the subscription, your business has a non-exclusive, non-transferable licence to use it. Your content (text, images, data) remains yours.
13. Liability
Our liability is limited to the amount your business paid us in the 12 months before the event that gave rise to it. We are not liable for lost profits, loss of business or outages of third-party services. These limits do not apply to wilful misconduct or gross negligence, or to anything mandatory law requires.
14. End of the contract
You can end the subscription in the workspace, or by email to support@synkora.pt, under section 6. We can end it with 30 days' notice by email, or sooner in cases of late payment (section 7) or use against these terms (section 4). Access to the workspace ends with the contract. The subscription includes no website or repository: when you leave, the way to take your business's information with you is the data export (section 10).
15. Changes to these terms
If we change these terms, we publish the new version here with its date. If the change is important, we email you at least 30 days before. If you do not agree, you can end the subscription before the change applies, with no early exit charge.
16. Governing law and courts
Portuguese law applies. Any dispute goes to the Portuguese courts, in the district of [district to be set: e.g. Lisbon]. For customers in other EU Member States, this choice applies under Article 25 of Regulation (EU) No 1215/2012.
17. Contact
Notices about the subscription (renewal, cancellation and termination) and complaints are sent to support@synkora.pt. It is the official address for these communications.
For general and sales contact, write to hello@synkora.pt.
The notices we send you go to the account owner's email.
